Executive Assistant to the General Manager

Job Description

Main Duties and Responsibilities

  • Liaise between General Manager and various departments to facilitate smooth daily operations
  • Conserve General Manager’s time by reading, researching, and routing correspondence; drafting documents, reports, presentations and correspondence for review and/or signature from dictation, handwritten notes, and conversation
  • Research, prioritise, and follow up on incoming issues and concerns addressed to the General Manager, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or responds
  • Able to work independently on projects, from conception to completion. Must be able to work under pressure at times to handle a wide variety of activities and confidential matters
  • Maintain an updated and accurate calendar as well as schedules appointments and office meetings as requested
  • Maintain company confidence and protects operations by keeping information confidential
  • Work closely and effectively with the director keeping him well informed of upcoming commitments, responsibilities and deadlines, following up appropriately
  • Maintain an extensive filing system for correspondence, business matters, personal matters, and other related data
  • Facilitate management meetings by planning agendas, developing and distributing; presentations and reports, and capturing meeting minutes and follow-up action plans
  • Perform other related duties as assigned

Experience Required

  • Minimum experience 4-5 years working in a fast-paced executive administrative environment
  • Minimum Educational Level Required
  • Bachelor’s Degree
  • Minimum Career Level Required
  • Experienced (Non-manager)
  • Languages Required
  • Fluent in English (Speaking, Writing and Reading)

Other Requirements

  • Bachelor’s or master’s degree in business administration or equivalent
  • Excellent communication skills, good judgment ability and multi-tasking skills
  • Work independently, act with appropriate urgency, initiative
  • Ability to accommodate working styles and perspectives of diverse individuals
  • Maintaining utmost confidentiality with sensitive and personal information ability to prioritize own work and resources to complete projects on time and solve routine problems effectively
